# Best data rooms for commercial real estate in 2026

[Papermark](https://www.papermark.com/real-estate-data-room) is a secure, fully customizable, and developer-friendly data room for commercial real estate dealmakers, with page-level analytics, dynamic watermarking, unlimited data room visitors, a public API, CLI, and MCP server, and transparent pricing from €99/month (open-source and self-hosting available). AI redaction is included on Data Rooms Premium and above. This guide compares 8 data rooms for commercial real estate and shows which pricing model fits a listing ladder, a single-asset sale, or a portfolio process.

Thirty to sixty days is the standard inspection window on a stabilised asset. The room has to be open before that clock starts, and it has to stay open for buyer counsel, the lender, and an environmental consultant who should not all see the same files.

## Quick recap

1. **[Papermark](https://www.papermark.com/real-estate-data-room)** - from €99/month billed annually (€149 month to month), with a 7-day free trial. Unlimited data room visitors on every plan, unlimited data rooms, page-level analytics, dynamic watermarking, a public API, CLI, and MCP server, and AI redaction on Premium and above.
2. **Drooms** - from €17.90 per user/month, with 300 MB of storage per licence. European virtual data room used on M&A and commercial real estate, with a 30-day trial.
3. **Datasite** - custom quote only, roughly $0.40 to $0.85 per page. Enterprise virtual data room for institutional and cross-border transactions.
4. **Intralinks** - custom quote only, roughly $10,000 to $200,000+ per year. Enterprise virtual data room with a dedicated real estate workflow and AI-assisted redaction.
5. **Ideals** - custom quote only, commonly from around $500/month, with a 30-day trial. Three tiers (Core, Premier, Enterprise) and no published rates.
6. **Firmex** - custom quote, with reported entry rates around $625 to $995/month. Subscription or per-deal virtual data room with dynamic watermarks.
7. **Ansarada** - quote-based. Historical public rates started around $479/month for 250 MB. AI-assisted virtual data room sold on storage tiers.
8. **SecureDocs** - from $450/month. Subscription virtual data room with unlimited users and storage on that plan, and self-serve setup.

The full provider comparison, including the 15-room shortlist these names sit inside, is in [best virtual data rooms](/blog/best-virtual-data-rooms.md).

## What a commercial real estate data room has to do

A commercial real estate data room is the permissioned workspace for one asset or one portfolio during a sale, a refinance, or a capital raise. It is not a shared drive with a password. Buyer counsel, the lender, a title company, and an environmental consultant each need a different slice of the same file set, and the seller still needs to know who opened the rent roll.

The billing model matters more than the feature grid. A brokerage running 25 listings cannot buy a new enterprise room for every address. A sponsor selling one industrial park once a year should not pay per page for a lease file that was already scanned. A portfolio process with several bidders needs groups, an audit log, and a way to shut one party out without rebuilding the room.

Three questions remove most of the market before you compare watermarks:

- Is the price published, and does a second room cost another subscription?
- Does storage scale with the deal (leases, surveys, prior Phase I reports) or with the number of paid seats?
- Can you show a teaser before the NDA and the full room after it, from the same documents?

Papermark's [real estate data room](https://www.papermark.com/real-estate-data-room) is built for that split: one subscription, unlimited data room visitors, and a link you can gate.

## What goes in the room

The folder tree should match the request list, not your internal drive. A retail centre with 28 tenants can mean 28 leases, about 60 amendments, and 28 estoppel requests. Those files do not belong in one folder called "legal".

The inspection window on a stabilised single asset is usually 30 to 60 days. Portfolios often get 90 days or more. Third-party reports on one asset typically cost $2,200 to $4,000 for a Phase I, $3,000 to $8,000 for an ALTA/NSPS survey, and $3,000 to $8,000 for a property condition assessment. The room is where those reports land, and where access ends when the window ends.

| Folder | What belongs there | Who should see it |
| --- | --- | --- |
| Title and survey | Title commitment, ALTA survey, zoning report | Buyer counsel and the title company |
| Leases | Leases, amendments, estoppels, SNDAs | Buyer and lender, not every bidder |
| Financials | Rent roll, trailing-12, CAM reconciliations | Buyer underwriting and the lender |
| Environmental | Phase I, prior reports, property condition assessment | Buyer, consultant, and lender |
| Contracts | Service contracts, insurance, 5 years of loss runs | Buyer counsel and the lender |

Build that index before the room opens. The step-by-step setup is in [how to set up a real estate data room](/blog/how-to-set-up-real-estate-data-room.md), and the workstreams behind the folders are in [commercial real estate due diligence](/blog/commercial-real-estate-due-diligence.md).

## What commercial real estate teams actually ask

A Papermark customer in corporate development was replacing Datasite on a deal-by-deal schedule: one or two commercial real estate transactions a year, up to 30GB each. They wanted a sandbox while the room was still in prep, and a bill they could predict before the process went live.

> "Datasite prices recently increased."
>
> a Papermark customer, corporate development, commercial real estate

A Papermark customer advising a Dutch legal team had a different shape: 125 apartments, 3 buyers, and a team of 10. They needed white-label branding, a self-hosting option, and a flat subscription instead of a new project invoice every time a buyer group was added.

A third Papermark customer, on a single real estate transaction, asked for two links from the same files: a teaser before the NDA, and the full room after it. That pattern is common on marketed assets, where the offering memo can travel and the rent roll cannot.

## Data rooms for commercial real estate, compared

The table ranks the 8 data rooms in this guide. Price is the published starting rate where one exists. Quote-only means you will not see a number until a sales call, which is where per-page and per-deal fees usually sit.

| # | Provider | Starting price | How it bills | Best CRE fit |
| --- | --- | --- | --- | --- |
| 1 | Papermark | €99/month billed annually | Published room price | Listing ladders and single-asset sales |
| 2 | Drooms | €17.90 per user/month | Per user, 300 MB each | European property and M&A processes |
| 3 | Datasite | Quote only | Per page, about $0.40-$0.85 | Institutional and cross-border sales |
| 4 | Intralinks | Quote only | Custom, $10k-$200k+/year | Large real estate and capital markets |
| 5 | Ideals | Quote only | Three custom tiers | Mid-market deals that want Q&A |
| 6 | Firmex | About $625-$995/month reported | Subscription or per deal | Advisory firms on concurrent deals |
| 7 | Ansarada | Quote only | Storage tiers, historically from $479/month | Structured processes with bidder Q&A |
| 8 | SecureDocs | From $450/month | Published subscription | One room at a time on a known bill |

Read the billing column before the price. €17.90 per user looks cheaper than €99 per room until a 30GB lease file is divided by 300 MB per licence. That is 100 licences, or €1,790 a month, before add-ons. A per-page quote of $0.40 to $0.85 turns a 10,000-page upload into $4,000 to $8,500 before anyone opens a document.

## How these 8 were chosen

The list is commercial real estate first, then brand recognition. Drooms is here because European property transactions are a core use, not a side note. Datasite and Intralinks are here because institutional portfolio sales still run on those rooms. Ideals, Firmex, Ansarada, and SecureDocs are the mid-market names buyers actually put on a shortlist next to them.

Each profile uses a price from the vendor's public pricing or from figures already verified against vendor pages in September 2026 for [best virtual data rooms](/blog/best-virtual-data-rooms.md). Where a vendor publishes no price, the profile says quote-only and gives the range reporters and prior vendor pages have used. It does not invent a discount.

Review scores are included only where a public G2 or Capterra rating exists with a count. A 4.7 from 3 reviews is not the same evidence as a 4.5 from 260. Blank stays blank.

Tools that are file storage with a sharing link (Google Drive, Dropbox, a broker's email thread) are not on the list. They fail the rent-roll test: no per-viewer watermark, no group permissions that survive a forward, and no page-level record of who read the estoppel package.

## 1. Papermark: data room for commercial real estate

Website: [papermark.com/real-estate-data-room](https://www.papermark.com/real-estate-data-room)

**Pricing:** Data Rooms is €149/month, or €99/month billed annually, with a 7-day free trial.

[Papermark](/data-room.md) is a secure, fully customizable, and developer-friendly data room for modern dealmakers. On a commercial real estate process that means one subscription for every listing, unlimited data room visitors so bidders and lenders are not a per-seat line, and [page-by-page analytics](/document-analytics.md) so you see who opened the rent roll and how long they stayed.

![Papermark page-by-page analytics on a commercial real estate data room](https://img.papermarkassets.com/upload/file_7u55u1oLqErWJhWGRkFFVF-document-analytics-Papermark.png)

*Page-by-page analytics shows which visitor opened the rent roll, the leases, or the Phase I, and how long they stayed.*

### Security on a marketed asset

![Papermark dynamic watermark on a shared commercial document](https://assets.papermark.io/upload/file_V36N5Bqq11P7iBd77YTokM-dynamic-watermark-cover-papermark-.png)

*Dynamic watermarking stamps the viewer's email, IP, and timestamp on every page.*

[Dynamic watermarking](/dynamic-watermarking.md) is the control that matters once an offering memo is in market. Each page carries the viewer's email, IP, and timestamp. Pair it with [granular permissions](https://www.papermark.com/granular-permissions) so the lender sees the full lease file and a first-round bidder sees the teaser. A [one-click NDA](/one-click-nda.md) can sit on the full-room link, with the acceptance stored in the audit log.

Papermark is ISO 27001 certified and SOC 2 Type II audited (SOC 2 from Data Rooms Plus and above), with GDPR, HIPAA, and CCPA coverage, AES-256 at rest, TLS in transit, and EU hosting in Frankfurt. Screenshot protection is available on supported browsers. The [security overview](/security.md) lists the certifications.

### Branding and a room per listing

![Papermark data room branding for a commercial real estate listing](https://assets.papermark.io/upload/file_Jv9ZNrfQjceEsopGrFUDDu-papermark-branding.png)

*Custom domain and white-label branding, included from the Data Rooms plan.*

Brokers and sponsors run the room on their own domain, with their logo and colours, so a buyer does not land on a vendor login page. Custom domains for data rooms are included from the €99/month [Data Rooms plan](https://www.papermark.com/pricing.md?view=datarooms). Unlimited data rooms on every paid plan is what makes a listing ladder affordable: the second address does not open a second contract.

A public [API, CLI, and MCP server](https://www.papermark.com/agents.md) lets a developer-friendly team create rooms and permissions from the transaction system, instead of clicking through each listing. Open-source and self-hosting (AGPL, bring-your-own bucket) are available for teams that need the files in their own storage.

### What it costs

Unlimited data room visitors are on every plan. Paid team seats are separate.

- **Data Rooms** (€99/month billed annually, €149 month to month): 3 team members, €33/month per extra seat, unlimited visitors, unlimited data rooms, unlimited storage, custom domain, NDA, dynamic watermark, granular permissions. No AI redaction.
- **Data Rooms Plus** (€249/month billed annually): 5 team members, audit log, Q&A, SOC 2 Type II. No AI redaction.
- **Data Rooms Premium** (€549/month billed annually): 10 team members, and AI redaction.
- **Data Rooms Unlimited** (€999/month billed annually): unlimited team members, AI redaction, self-hosted deployment.

See [Papermark Data Rooms pricing](https://www.papermark.com/pricing.md?view=datarooms). Ratings across G2, Product Hunt, and Reddit sit at 4.9/5 from 171 reviews, verified September 2026.

## 2. Drooms: European virtual data room

Website: [drooms.com](https://drooms.com)

**Pricing:** Flex from €17.90 per user/month, including 300 MB per licence. A 30-day trial covers up to 5 users and 1 GB. Enterprise is custom quoted. Reviewers report a €700 installation fee on that tier.

Drooms is a Frankfurt-based virtual data room used on European M&A and commercial real estate. It is the provider on this list whose published price is per user, not per room. Document translation inside the room is useful on cross-border property sales. OCR search, AI redaction, and live reporting are on the Flex plan. Q&A is a paid add-on. NDA gating is not on Flex.

The storage tie is the commercial real estate constraint. One G2 reviewer described buying 15 licences for a team of 4 to reach usable capacity. A 30GB deal, the size a Papermark customer in corporate development named, is 100 times the 300 MB included per licence.

> **[Drooms vs Papermark](/blog/best-virtual-data-rooms.md)**: Drooms bills €17.90 per user with 300 MB each. [Papermark](https://www.papermark.com/real-estate-data-room) bills per room from €99/month, with unlimited data room visitors and unlimited storage on the Data Rooms plan.

**G2:** 4.7/5 on 3 reviews, so treat the score as directional. **Capterra:** 4.5/5. Most often cited for European M&A and real estate.

## 3. Datasite: enterprise virtual data room

Website: [datasite.com](https://www.datasite.com)

**Pricing:** Custom quote only. Industry data points to roughly $0.40 to $0.85 per page. Large enterprise engagements can exceed $200,000 a year.

Datasite Diligence is used by investment banks, private equity, and law firms on M&A and institutional due diligence, including large property transactions. AI-assisted redaction, granular permissions, a Q&A module, and auto-indexing are part of the product. A dedicated project manager is included on enterprise deals. It is ISO 27001 and SOC 2 aligned, and it ranked first among virtual data rooms in G2's Spring 2025 Grid Report.

There is no public price. Upload speed on very large files is a recurring review complaint, and first-time external users often need onboarding. A per-page model moves with the lease file: 10,000 pages at $0.40 to $0.85 is $4,000 to $8,500 in upload fees.

> **[Datasite vs Papermark](https://www.papermark.com/alternatives/datasite)**: Datasite is quote-only and commonly billed per page. [Papermark](https://www.papermark.com/real-estate-data-room) publishes €99/month billed annually, with unlimited storage on the Data Rooms plan.

**G2:** 4.5/5 from 260+ reviews.

## 4. Intralinks: virtual data room for real estate

Website: [intralinks.com](https://www.intralinks.com)

**Pricing:** Custom quote only. Reported ranges run from about $10,000 to $200,000+ per year, depending on deal size. Extra fees for storage, users, and extensions are common.

Intralinks publishes a real estate workflow covering property sales, construction, and project collaboration. AI-assisted redaction is aimed at tenant, owner, and property data. Q&A, customizable watermarks, and activity reporting are included. Intralinks cites ISO 27701 among its privacy certifications. Setup is typically handled with an onboarding representative, and reviewers describe a multi-day start rather than a self-serve room.

> **[Intralinks vs Papermark](https://www.papermark.com/alternatives/intralinks)**: Intralinks is sold on a custom annual quote, often $10,000 and up. [Papermark](https://www.papermark.com/real-estate-data-room) is self-serve from €99/month billed annually, with unlimited data rooms on the paid plan.

A public G2 score with a review count is not published in the same way as Datasite's.

## 5. Ideals: virtual data room

Website: [idealsvdr.com](https://www.idealsvdr.com)

**Pricing:** Custom quote only across Core, Premier, and Enterprise. A 30-day trial is available. Reported quotes commonly start around $500/month and scale into five-figure annual contracts.

Ideals is used by M&A, legal, and finance teams for diligence. Fence view, dynamic watermarking, MFA, and an integrated Q&A module are the controls mid-market property counsel usually ask about. Mobile apps and API access sit on higher tiers. There is no public rate card, and lower tiers carry upload limits that a scanned lease file can hit.

> **[Ideals vs Papermark](https://www.papermark.com/alternatives/ideals)**: Ideals requires a quote, commonly from around $500/month. [Papermark](https://www.papermark.com/real-estate-data-room) publishes the Data Rooms price and includes unlimited data room visitors on every plan.

## 6. Firmex: virtual data room

Website: [firmex.com](https://www.firmex.com)

**Pricing:** Custom quote. Reported entry subscriptions cluster around $625 to $995/month. Per-project quotes are commonly reported at $5,000 to $10,000 for a 3-month engagement.

Firmex sells dynamic watermarks, two-factor authentication, audit trails, and permission settings to legal and corporate teams running diligence. Unlimited users and data rooms appear on select plans, not on every quote, so a brokerage should ask whether the second listing is included. A free trial is available. The rate is not on the website.

> **[Firmex vs Papermark](/blog/firmex-alternatives.md)**: Firmex is quoted, with reported entry rates around $625 to $995/month. [Papermark](https://www.papermark.com/real-estate-data-room) lists €99/month billed annually for unlimited data rooms and unlimited visitors.

## 7. Ansarada: virtual data room

Website: [ansarada.com](https://www.ansarada.com)

**Pricing:** Quote-based. Ansarada no longer publishes a rate card. Historical public pricing started around $479/month for 250 MB and climbed with storage, up to plans in the multi-thousand-dollar range for 20 GB. Annual commitments were described as cutting cost by up to 53%.

Ansarada is an AI-assisted virtual data room used on M&A and structured diligence, with Q&A, activity tracking, and bidder analytics. Preparation mode is free. There is no free production plan. Storage tiers are the constraint on a lease-heavy property file: 250 MB does not hold a Phase I, a survey, and a rent roll with exhibits. There is no open-source or self-hosted deployment.

> **[Ansarada vs Papermark](https://www.papermark.com/alternatives/ansarada)**: Ansarada is quote-only and historically metered by storage, from about $479/month for 250 MB. [Papermark](https://www.papermark.com/real-estate-data-room) includes unlimited storage from the €99/month Data Rooms plan.

A public review count comparable to Datasite's is not published.

## 8. SecureDocs: virtual data room

Website: [securedocs.com](https://www.onit.com/products/clm/securedocs/)

**Pricing:** From $450/month for unlimited users and storage. The 12-month plan is $450/month billed annually. The 3-month plan is $450/month billed quarterly. A free trial is available. There is no free plan.

SecureDocs is a subscription virtual data room with granular roles, dynamic watermarking, audit log export, NDA templates, and a Q&A module. Setup is self-serve, which fits a team that opens one asset room and wants a number before the call. Volume packages for many concurrent projects are custom. Integrations are thinner than the enterprise rooms above, and page-level engagement (which page, how long) is not the product's emphasis.

> **[SecureDocs vs Papermark](https://www.papermark.com/alternatives/securedocs)**: SecureDocs starts at $450/month. [Papermark](https://www.papermark.com/real-estate-data-room) starts at €99/month billed annually, with unlimited data rooms and page-by-page analytics on the Data Rooms plan.

## How to pick a data room for your deal

Match the room to the deal shape, then check the watermark.

**A listing ladder (many addresses, one team).** You need unlimited rooms on one subscription. Per-deal and per-page contracts get expensive at the second and third listing. Papermark includes unlimited data rooms from €99/month billed annually. Ask any quote-only vendor whether room two is a new invoice.

**One asset, once or twice a year.** A Papermark customer in this spot was replacing Datasite after a price increase, with up to 30GB in the room. Published storage (Papermark, SecureDocs from $450/month) is easier to budget than a per-page upload fee. Drooms can work if the user count stays small and the file set fits 300 MB per licence. A 30GB set does not.

**An institutional portfolio.** Datasite and Intralinks are built for multi-bidder Q&A and a dedicated project manager. Budget a custom quote, often from $10,000 a year and up on Intralinks, and higher on large Datasite engagements. Use them when counsel has already named the vendor. Use a published room when the process is one portfolio and the fee has to be known this week.

**A teaser, then the full file.** Whatever you pick, confirm you can send a pre-NDA link and an NDA-gated link without duplicating the documents. That was the request from a Papermark customer on a single-asset transaction.

If you are raising capital against the asset rather than selling it, the same room holds the offering memo for LPs. [Real estate investors](/blog/real-estate-investors.md) is the list for that outreach. The document index for the sale itself is the [real estate due diligence checklist](/blog/real-estate-due-diligence-checklist.md).

## Conclusion

The best data room for commercial real estate is the one whose bill still makes sense on listing two, and whose watermark is on the rent roll when a bidder forwards the link. Published room pricing (Papermark from €99/month billed annually, SecureDocs from $450/month) fits brokerages and sponsors who can name the deal count. Per-user storage (Drooms at €17.90 and 300 MB) fits a small European file set. Quote-only enterprise rooms (Datasite, Intralinks, Ideals, Firmex, Ansarada) fit institutional processes where a project manager is part of the purchase.

Set the folders before the inspection window opens. Thirty to sixty days is not long enough to rebuild permissions after the first bidder asks for the estoppels.

## FAQ

### What is a commercial real estate data room?

A commercial real estate data room is a permissioned workspace for the documents in a property sale, refinance, or capital raise. Buyer counsel, the lender, and consultants each get a different slice of the same files. On a stabilised asset the inspection window is usually 30 to 60 days, so the room has to be ready before that clock starts. Papermark's real estate data room includes unlimited data room visitors on every plan.

### How much does a virtual data room cost?

Published starting prices in this guide run from €99/month billed annually for Papermark (€149 month to month) to $450/month for SecureDocs. Drooms publishes €17.90 per user/month with 300 MB per licence. Datasite, Intralinks, Ideals, Firmex, and Ansarada are quote-only. A Datasite-style per-page range of $0.40 to $0.85 turns 10,000 pages into $4,000 to $8,500 in upload fees.

### Can I run more than one commercial real estate deal on one subscription?

Papermark includes unlimited data rooms on every paid Data Rooms plan, from €99/month billed annually, so a second listing does not open a second contract. A Papermark customer advising on 125 apartments and 3 buyers asked for that flat subscription instead of a new project invoice per buyer group. Drooms bills per user. Several enterprise rooms bill per deal or per page.

### Do buyers have to create an account before they see the teaser?

On Papermark you can send a teaser link and a separate NDA-gated link to the full room, which is what a Papermark customer asked for on a single real estate transaction. Email verification and a one-click NDA sit on the link. You do not have to make every first-round bidder create an account before they open the offering memo.

### Where is a commercial real estate data room hosted?

Papermark hosts data in the EU, in Frankfurt, with AES-256 at rest and TLS in transit. It is ISO 27001 certified, and SOC 2 Type II applies from Data Rooms Plus (€249/month billed annually) upward. Self-hosting on your own bucket is available for teams that cannot leave files in a vendor region. Drooms is also Frankfurt-based.

### What documents go in a commercial real estate data room?

Title commitment, ALTA survey, zoning, the rent roll, trailing-12 statements, leases, amendments, estoppels, SNDAs, Phase I, a property condition assessment, service contracts, and about 5 years of loss runs. A 28-tenant retail centre can mean 28 leases and about 60 amendments. Phase I reports on one asset typically cost $2,200 to $4,000.

### Can I replace Datasite for one or two deals a year?

A Papermark customer in commercial real estate corporate development was doing exactly that: 1 or 2 deals a year, up to 30GB each, after Datasite raised prices. Papermark's Data Rooms plan is €99/month billed annually with unlimited storage and a 7-day trial you can use while the room is still in prep. Datasite remains quote-only, often on a per-page model of about $0.40 to $0.85.

### How do I keep a rent roll from being forwarded to every bidder?

Put the rent roll in its own folder, give first-round bidders view access to the teaser only, and turn on dynamic watermarking so each page shows that viewer's email, IP, and timestamp. Papermark includes that watermark from the €99/month Data Rooms plan, plus granular permissions and an exportable audit log. Screenshot protection adds a deterrent on supported browsers.
