How to set up global branding across documents and data rooms?

Configuring branding for every link or every data room is tedious. Global branding lets you set your logo, color, banner, and favicon once at the account level and have them flow through to every document and data room automatically. You can still override per data room when a specific deal needs its own look.

Global branding is available on the Business plan and above.

What global branding controls

When you set branding at the account level, these elements apply across the entire Papermark experience for your team:

  • Logo: shown in the viewer header for every link
  • Banner image: optional hero image displayed above your documents and data rooms
  • Brand color: applied to buttons, links, and accents in the viewer
  • Favicon: the browser tab icon for your shared links
  • Meta tags and social cards: control how your links look on Slack, LinkedIn, X, and email previews

Once configured, every new document and data room inherits these settings automatically. Existing links update on next view.

Step-by-step setup

Step 1: Open global branding settings

  1. Log into Papermark as a workspace admin.
  2. Go to Settings, then Branding.

Step 2: Upload your logo and favicon

  1. Click Upload logo and pick a transparent PNG or SVG for best results.
  2. Click Upload favicon and pick a square image (32x32 or 16x16 px).

Step 3: Set your brand color

  1. Enter the hex code of your brand color.
  2. Preview the result in the live preview pane on the right.

Step 4: Add a banner image (optional)

  1. Click Upload banner.
  2. Pick a landscape image (recommended 1200x300 px) for the data room hero area.

Step 5: Configure meta tags

  1. Set the page title and description that appear in social previews.
  2. Upload a social card image (1200x630 px).
  3. Save the settings.

Your branding now applies to every new link and every existing link the next time it's viewed.

Override per data room

You can override the global branding inside any individual data room. This is useful when:

  • You're running a deal under a different brand (an M&A advisor running multiple client deals)
  • A specific data room needs a campaign-specific look
  • You're white-labeling for a client and want their brand instead of yours

To override:

  1. Open the data room.
  2. Click Settings, then Branding.
  3. Pick Use custom branding for this data room and configure as needed.

The data room's branding takes precedence over your account-level settings. To revert, switch back to Inherit from account.

Combine with custom domains

Global branding pairs well with custom domains. When viewers access your link at docs.yourcompany.com with your logo, banner, and brand color, the result is a fully white-labeled experience with no Papermark visible.

For maximum white-labeling, also enable hide branding banner on your links.

  • Single-brand companies: set your branding once and ship every link looking consistent.
  • M&A advisory: use global branding for your firm, then override per client deal with the client's brand.
  • Investor relations: keep the LP experience consistent across every quarterly report and call deck.
  • Multi-product companies: use global branding for the parent company and overrides for individual product data rooms.

Best practices

  • Use a transparent logo. A PNG or SVG with a transparent background works on both light and dark viewer backgrounds.
  • Match the viewer background color. Choose a background that contrasts well with your logo and brand color.
  • Test on mobile. Open one of your links on a phone to make sure the logo, banner, and meta cards render correctly.
  • Update social cards seasonally. If you're running a campaign, refresh the meta cards to match.
