What a commercial real estate data room has to do

A commercial real estate data room is the permissioned workspace for one asset or one portfolio during a sale, a refinance, or a capital raise. It is not a shared drive with a password. Buyer counsel, the lender, a title company, and an environmental consultant each need a different slice of the same file set, and the seller still needs to know who opened the rent roll.

The billing model matters more than the feature grid. A brokerage running 25 listings cannot buy a new enterprise room for every address. A sponsor selling one industrial park once a year should not pay per page for a lease file that was already scanned. Read the billing column before the price. €17.90 per user looks cheaper than €99 per room until a 30GB lease file is divided by 300 MB per licence. That is 100 licences, or €1,790 a month, before add-ons. A per-page quote of $0.40 to $0.85 turns a 10,000-page upload into $4,000 to $8,500 before anyone opens a document.

How to pick a data room for your deal

Match the room to the deal shape, then check the watermark.

A listing ladder (many addresses, one team). You need unlimited rooms on one subscription. Per-deal and per-page contracts get expensive at the second and third listing. Papermark includes unlimited data rooms from €99/month billed annually. Ask any quote-only vendor whether room two is a new invoice.

One asset, once or twice a year. A Papermark customer in this spot was replacing Datasite after a price increase, with up to 30GB in the room.
