FirmRoom is a self-serve virtual data room for mid-market M&A, fundraising, and diligence, sold on storage tiers from $395/month (2 GB) to $995/month (10 GB), with one data room per plan and $150/GB overage. It is not an independent vendor. DealRoom Inc. created FirmRoom, spun it out in 2018 as the document-only SKU, and still owns the product and the trademark. This guide compares 8 FirmRoom alternatives and maps them to different deal cases.

Papermark is a secure, fully customizable, and developer-friendly data room for modern dealmakers, with page-level analytics, dynamic watermarking, unlimited data room visitors, a public API, CLI, and MCP server, AI redaction on Data Rooms Premium and above, and a Data Rooms plan from €99/month. It is the best overall FirmRoom alternative on this list because you get unlimited rooms and storage on a published monthly number, without moving into DealRoom's heavier pipeline product.

Quick recap

These eight FirmRoom alternatives are used on live M&A and fundraising processes. The split is whether you need a standalone virtual data room, a full DealRoom-style pipeline, or an independent vendor after FirmRoom's DealRoom ownership.

  1. Papermark - from €99/month, 7-day trial. Best overall: unlimited rooms, unlimited storage, unlimited data room visitors, page-by-page analytics, API/CLI/MCP, AI redaction on Premium+.
  2. DealRoom - from $20,000/year on FirmRoom's own site. Same parent as FirmRoom. Pipeline, diligence, and post-close integration.
  3. SecureDocs - from $450/month. Subscription VDR with unlimited users and storage, setup in about 10 minutes.
  4. Ideals - custom quote, 30-day trial, often reported from around $500/month. Mid-market M&A with fence view and Q&A.
  5. Firmex - custom quote, reported $625 to $995/month. Time-boxed mid-market advisory rooms. Datasite-owned since 2021.
  6. Digify - from $480/month on the Team plan. File-level rights management and device fingerprinting.
  7. CapLinked - from $399/month on the Team plan. Flat-rate VDR with OCR search, no per-viewer charge.
  8. Intralinks - custom quote, roughly $10,000 to $200,000+/year. Bank-run, regulated sell-sides.

What FirmRoom is, and the core features you are replacing

FirmRoom is a document-centric virtual data room aimed at M&A, fundraising, IPOs, and partnerships. You get a folder tree, unlimited users on every plan, dynamic watermarking, an NDA workflow, granular permissions, redaction, and an audit trail. Published pricing is storage-based: $395/month for 2 GB, $695/month for 5 GB, $995/month for 10 GB, with a 14-day trial. Overage is $150/GB/month. Each plan includes one data room.

FirmRoom virtual data room

FirmRoom by DealRoom: one room per plan, billed by storage tier.

That last constraint is the one that sends teams shopping. An advisory boutique running three live mandates pays three FirmRoom subscriptions, or it crams unrelated deals into a single room. Papermark includes unlimited data rooms on the €99/month Data Rooms plan.

The core FirmRoom features to match on a shortlist are:

  • Secure document repository with bulk upload
  • Unlimited users (external reviewers) on every storage tier
  • Granular permissions and view-only / no-download controls
  • Dynamic watermarking and NDA gating
  • Audit trail and document-level activity
  • Self-serve signup and a 14-day trial, no per-page invoice

What FirmRoom does not match well, and what most alternatives on this list add, is unlimited rooms, unlimited storage, white-label custom domains, a public API, CLI, and MCP, and page-level heatmaps instead of user- and document-level reporting. G2 lists FirmRoom at 4.6/5 from 21+ reviews. Capterra is 4.6/5 from 50+ reviews. Reviewers cite ease of use and phone support. They also cite search, bulk download with watermarks on, and the monthly price versus the feature set. See FirmRoom reviews and the FirmRoom overview.

FirmRoom and DealRoom: same company, not a third-party exit

Teams often search "FirmRoom acquired by DealRoom" because the two brands sit next to each other on shortlists. The accurate history is ownership, not a later buyout of an independent VDR.

DealRoom Inc. was founded in Chicago in 2012 by Kison Patel as an M&A lifecycle platform. The FIRMROOM trademark is registered to DEALROOM INC. (USPTO, filed 2013, registered 2014). In 2018 DealRoom spun FirmRoom out as a standalone, self-serve virtual data room to compete with per-page VDRs. FirmRoom's own about page still brands it FirmRoom by DealRoom. The VDR functionality also sits inside the DealRoom platform, so "switching" from FirmRoom to DealRoom is moving to the parent SKU, not leaving the vendor.

That is the same pattern as Datasite owning Firmex and Ansarada, with one difference: FirmRoom was born inside DealRoom rather than bought later. The practical rule is identical. If independence from DealRoom is part of why you are shopping, skip #2 on this list. Papermark, SecureDocs, Ideals, Firmex, Digify, CapLinked, and Intralinks are not DealRoom products.

Use FirmRoom when the job is a single document room and you accept a GB cap. Use DealRoom when the job is buyer-led M&A with pipeline, request lists, and post-close integration, and you accept from $20,000/year. Use Papermark when you want the room without the DealRoom family and without a storage meter. DealRoom's own comparison is on firmroom.com/firmroom-vs-dealroom. Our review of the parent product is DealRoom VDR review and alternatives.

Which FirmRoom alternative fits each case

Match the room to the deal, not to the logo on the last process.

Best overall (most teams leaving FirmRoom). You need a permissioned M&A or fundraising room, more than one live process, and a number that does not jump when a video or a full contract set lands. That is Papermark.

Serial acquirer. Corporate development running three or more buys a year wants pipeline, checklists, and integration planning. That is DealRoom, knowing it is the same parent. If you wanted to leave DealRoom, not upgrade inside it, stay on Papermark or Ideals.

One short diligence. A single transaction on a published subscription is SecureDocs from $450/month or CapLinked from $399/month.

Formal Q&A on a mid-market sell-side. Ideals, with fence view and a 30-day trial.

Bank-run, counsel-specified room. Intralinks, or stay on an incumbent. FirmRoom was never that product.

Many small secure sends, not one huge diligence set. Digify from $480/month, with device fingerprinting.

Time-boxed advisory room, quote-based. Firmex, with the Datasite-ownership caveat from 2021.

Mid-market M&A or fundraising

This is the default FirmRoom job: a CIM, a quality of earnings pack, and a few dozen counterparties. You need NDA gating, watermarks, and a second room if another mandate signs. Papermark is the best overall pick here because the €99/month Data Rooms plan includes unlimited rooms, unlimited storage, and unlimited data room visitors.

Serial acquirer, pipeline through close

If corporate development runs several buys a year and the bottleneck is request lists, playbooks, and post-close integration, DealRoom is the in-family product. FirmRoom's pricing page points that SKU at from $20,000/year. That is not an independent vendor switch. Stay on Papermark or Ideals if leaving DealRoom is the point.

One short diligence on a published price

A single transaction that just needs a vault, not a pipeline, is SecureDocs from $450/month or CapLinked from $399/month. Both publish a number. Neither includes Papermark's page-level heatmaps or unlimited rooms at €99.

Formal Q&A, fence view, or a bank-named room

Mid-market sell-sides that need fence view and structured Q&A land on Ideals (30-day trial, custom quote). Bank-run, counsel-specified processes still name Intralinks. Digify is the case for many small DRM-protected sends rather than one 8 GB set. Firmex is the quote-based advisory room, with the Datasite 2021 ownership caveat.

Worked example: 8 GB on a $40M sell-side

Northline Partners is a hypothetical boutique in Manchester running the sale of a €40M packaging business. The set is about 8 GB once scanned contracts, HR files, and a video walkthrough are in. FirmRoom's 5 GB plan at $695/month plus 3 GB of overage at $150/GB is $1,145/month. Seven months is about $8,015, and Northline still has only one room if a second mandate signs in month three.

On Papermark's Data Rooms plan the same seven months is €693 billed annually, with unlimited storage, unlimited data room visitors, and as many rooms as the firm opens. The decision is then features, not the GB meter: does the team need DealRoom's pipeline (same parent, from $20,000/year), or page-level bidder analytics on a flat €99.

1. Papermark - best overall FirmRoom alternative

Website: papermark.com

Pricing: From €99/month on the Data Rooms plan, 7-day free trial. Free plan available for document sharing.

Papermark is a secure, fully customizable, and developer-friendly data room built for modern dealmakers, with page-by-page analytics, dynamic watermarking, unlimited data room visitors, and transparent pricing from €99/month. Against FirmRoom it removes the three constraints teams actually hit: one room per plan, a GB cap with $150 overage, and document-level reporting instead of page-level heatmaps. Open-source and self-hosting are available if you need data sovereignty DealRoom does not offer.

Core benefit: page-by-page analytics

FirmRoom logs that a bidder opened a file. Papermark shows which page they spent time on, how long they lingered, and whether the link was forwarded. On a sell-side that is a live read on intent: the party in the customer-contracts folder for forty minutes is the one whose questions arrive next week.

Papermark page-by-page document analytics

Page-level analytics are included rather than an enterprise reporting add-on.

Data room security and certifications

Papermark covers the controls M&A counterparties ask about: dynamic watermarking that stamps each viewer's email, IP, and timestamp, view-only mode with screenshot protection, one-click NDA gating, and granular file- and folder-level permissions. Encryption is AES-256 at rest and TLS in transit. EU hosting in Frankfurt is available. It is ISO 27001 certified and SOC 2 Type II audited (SOC 2 from Data Rooms Plus and above), plus GDPR, HIPAA, and CCPA aligned. Details are on the security page.

Papermark dynamic watermarking

Customization and branding

Run every room on your own custom domain with your logo and Papermark branding removed. Custom domains are included from the €99/month Data Rooms plan. FirmRoom does not make white-label domains the pitch.

Papermark custom branding and white-label domain

Papermark pricing

The Data Rooms plan is €99/month billed annually (€149 month-to-month) with a 7-day free trial and includes 3 team members, unlimited data room visitors, unlimited data rooms, unlimited documents, unlimited storage, a custom domain, dynamic watermarking, NDA agreements, and granular file-level permissions. Extra team members are €33/month.

Data Rooms Plus at €249/month adds 5 team members, the Q&A module, the visitor audit log, automatic file indexing, and SOC 2 Type II. Data Rooms Premium at €549/month covers 10 team members plus AI redaction, full API access, SSO, and whitelabeling. Data Rooms Unlimited at €999/month removes per-seat charges and adds self-hosted deployment.

A public API, CLI, and MCP server can create rooms and read analytics programmatically.

Ratings and limitations

Papermark rates 4.9/5 across 171 reviews on G2, Product Hunt, and community feedback, verified in 2026, and is used by 70,000+ companies. The honest limitation against a nine-figure, bank-specified process is brand: some bulge-bracket buy sides still expect Intralinks or Datasite. AI redaction is Premium and Unlimited only.

2. DealRoom - FirmRoom's parent, pipeline through close

Website: dealroom.net

Pricing: From $20,000/year on FirmRoom's pricing page. Also sold per deal; customer reports still cluster around $2,000 to $5,000 for small deals and $5,000 to $15,000+ for mid-market.

DealRoom diligence platform

DealRoom is the M&A execution platform that spawned FirmRoom. It wraps a VDR in pipeline stages, diligence request lists, Q&A, and post-close integration planning. Serial acquirers use it when the data room is one stage of a longer workflow. FirmRoom's VDR also sits inside DealRoom, which is why an "upgrade" often means a sales call with the same company.

Limitations: not independent of FirmRoom. No public rate card on the per-deal SKU. Overkill for fundraising or a single sell-side that only needs a document vault. See the DealRoom VDR review.

3. SecureDocs - published subscription

Website: securedocs.com

Pricing: From $450/month as a subscription, unlimited users and storage, 14-day trial.

SecureDocs website

SecureDocs publishes a price and includes unlimited users and storage, which solves FirmRoom's GB meter. Rooms stand up quickly, which suits one M&A process on a short timeline.

Limitations: lighter analytics and branding than Papermark, and the entry price is still several times €99/month for a comparable single room. See SecureDocs pricing.

4. Ideals - mid-market M&A with formal Q&A

Website: idealsvdr.com

Pricing: Custom quote across Core, Premier, and Enterprise, 30-day trial. Buyers commonly report from around $500/month.

Ideals VDR documents

Ideals is a mid-market VDR with granular permissions, fence view, dynamic watermarking, an integrated Q&A module, and mobile apps. G2 sits around 4.7/5 from 600+ reviews. The 30-day trial is longer than FirmRoom's 14 days.

Limitations: quote-only, advanced features on higher tiers, upload limits on lower tiers. Independent of DealRoom. See Ideals VDR pricing.

5. Firmex - mid-market VDR inside Datasite

Website: firmex.com

Pricing: Custom quote. Reported entry around $625 to $995/month.

Firmex data room interface

Firmex is a Canadian, project-based VDR used by mid-market boutiques. Features include watermarks, two-factor authentication, Q&A, and 24/7 support.

Limitations: Datasite acquired Firmex in July 2021, so this is not an independent exit if you are also trying to avoid large-enterprise parents. Quote-only. See the Firmex VDR overview.

6. Digify - file-level rights management

Website: digify.com

Pricing: From $480/month on the Team plan (3 users, 10 data rooms, 500 GB).

Digify data room

Digify is a secure document-sharing and data room tool with watermarking, device fingerprinting, and file-level rights. The 10-room allowance on Team is the opposite of FirmRoom's one-room cap, which is why it appears for teams that send many small confidential packs rather than one 8 GB diligence set.

Limitations: Team still starts at $480/month for 3 users. Page-by-page analytics and white-label data rooms are not the core pitch. See the Digify overview.

7. CapLinked - smaller diligence, published price

Website: caplinked.com

Pricing: From $399/month on the Team plan.

CapLinked interface

CapLinked is a flat-rate VDR with OCR search and no per-viewer charge for external reviewers. It is a common FirmRoom peer on price: published, mid-hundreds per month, aimed at smaller diligence projects.

Limitations: G2 sits around 3.9/5 in recent VDR roundups, a thinner sample than Ideals. Custom branding and page-level analytics are limited versus Papermark.

Website: intralinks.com

Pricing: Custom quote. Industry estimates range from $10,000 to $200,000+ per year.

Intralinks website

Intralinks is a legacy enterprise VDR for regulated, syndicated, and cross-border transactions. It ships AI-assisted redaction, indexing, Q&A, and group-level reporting. It is the case where buy-side counsel names the room.

Limitations: no published pricing, days of onboarding, extra fees for overages and duration. It does not solve the "I wanted a simple FirmRoom" brief. See Intralinks alternatives.

Data room for M&A as a FirmRoom alternative

A data room for M&A is the permissioned workspace that holds the CIM, quality of earnings, customer contracts, and HR files while several bidders review them at once. Leaving FirmRoom does not mean buying DealRoom's full lifecycle suite unless you actually run a pipeline.

Papermark is a secure, fully customizable, and developer-friendly data room for modern dealmakers. Set one-click NDA gating, stamp pages with dynamic watermarking, split first-round and confirmatory bidders with granular permissions, and watch page-by-page analytics. Unlimited data room visitors are included on every plan. AI redaction is on Data Rooms Premium (€549/month billed annually) and Unlimited.

Conclusion

If you need a FirmRoom alternative, decide two things first: do you still want a document data room, and do you want to stay inside DealRoom.

Papermark is the best overall pick for the first job: published €99/month, unlimited rooms and storage, page-by-page analytics, and no DealRoom parent. DealRoom is the in-family upgrade when the case is serial acquisitions. SecureDocs, CapLinked, and Digify cover published-price niches. Ideals and Intralinks cover formal mid-market and bank-run processes. Firmex is another parent-company story (Datasite, 2021).
