How to manage your Papermark plan (upgrade, downgrade, pause, cancel)?

Your Papermark subscription is fully self-service. From a single billing screen you can upgrade, downgrade, pause, or cancel your plan, change your billing cycle, update payment methods, and download invoices. This guide is the map.

All plan changes happen in Settings, Billing, Manage subscription. You don't need to contact support to make changes; we're here if you want a hand.

Freeze plan vs freeze data room

This is the most common confusion. Two different things share the word "freeze":

  • Freeze a data room locks one specific data room when a deal closes. It generates a tamper-proof archive and revokes all viewer access. Your plan and other data rooms are unaffected. See how to freeze a data room.
  • Freeze your plan is not a separate Papermark feature. If you want to put your whole account on hold, use pause your plan (1-3 months, reversible) or cancel your plan (indefinite, reversible by reactivation).

If a teammate says "freeze the plan", they almost always mean pause.

Step 1: Open billing settings

  1. Log into Papermark.
  2. Click your team name in the top-left, then Settings.
  3. In the left sidebar, click Billing.

You'll see:

  • Current plan and billing cycle
  • Next renewal date and amount
  • Payment method on file
  • Recent invoices

Step 2: Open the subscription portal

Click Manage subscription. This opens the secure billing portal where every plan change happens.

From the portal you can:

  • Upgrade to a higher tier
  • Downgrade to a lower tier
  • Switch monthly to yearly (and vice versa)
  • Pause the plan
  • Cancel the plan
  • Update payment method
  • Download invoices

Changing billing cycle (monthly to yearly)

Switching to yearly cuts your effective monthly price by up to 35%.

  1. In the billing portal, click Update plan.
  2. Pick the Yearly option for your tier.
  3. Confirm the proration if your monthly cycle is mid-period.
  4. Click Continue.

The yearly cycle starts immediately. Any unused monthly time is prorated and applied to the new yearly amount.

Switching from yearly to monthly takes effect at the next yearly renewal.

Upgrading and downgrading

  • Upgrades take effect immediately. You pay a prorated amount for the rest of the current period at the higher tier.
  • Downgrades take effect at the end of the current billing period. You keep all higher-tier features until then.

If you're unsure, pause. It's automatic, lower-friction, and you don't lose access to your data.

Common workflows

"I'm between deals for 6 weeks"

Pause your plan for 2 months. Resume early if a deal moves earlier than expected.

"We're done with one data room but the plan keeps running"

Freeze that data room. Your plan continues; the room becomes a tamper-proof archive.

"We've decided to stop using Papermark"

Cancel your plan. Your data stays for a grace period on the free tier; you can reactivate at any time. See how to cancel your plan.

Payment and invoices

  • Payment methods: card, SEPA, bank transfer (annual contracts on request)
  • Invoices: download from the billing portal or from Settings, Invoices. See Invoices and billing history.
  • VAT: collected based on your billing country; reverse-charge applies for EU business customers
  • Receipts: emailed automatically after each charge
